WRITEX, trading through the writex.ai brand, is the controller responsible for personal data processed through writex.ai.
1. Data we collect
- Account data: name, email address, authentication records and account settings.
- Service data: public links you submit, public content and transcripts read from them, response preferences, generated and edited responses, approvals, campaigns and delivery status.
- Billing data: plan, credit wallet, transaction history, billing status and payment references. Payment details are handled by our payment-processing providers. We do not receive or store your complete card or bank account details.
- Support data: messages and information you send when requesting help.
- Technical data: IP address, device and browser information, security events, sign-in times, essential cookie or storage identifiers, and diagnostic logs.
2. Why we use personal data
- To create and secure your account, provide campaigns, manage credits and deliver paid services under our contract with you.
- To process payments, maintain financial records and comply with tax, accounting and legal obligations.
- To prevent misuse, investigate errors, protect the service and improve reliability based on our legitimate interests.
- To send essential service messages, including account confirmation, password resets, payment receipts and important policy notices.
- To send optional marketing only where we have a valid legal basis. You may opt out at any time.
3. How the service processes submitted content
When you submit a public link, we may send the public link, transcript, caption, context and your response instructions to providers that support content extraction, AI generation and response delivery. We limit the information shared to what is needed to provide the requested campaign. Do not include sensitive personal data in optional instructions.
4. Who receives data
We use carefully selected providers for hosting and authentication, email delivery, payment processing, content extraction, AI processing, response delivery, monitoring and customer support. These providers act under contracts or their own legal obligations. Public platforms receive approved response text and the public post reference needed for delivery. We do not sell personal data.
We may disclose information when legally required, to protect legal rights or in connection with a business restructuring, subject to appropriate safeguards.
5. International transfers
Some providers may process data outside the European Economic Area. Where required, we use an adequacy decision, the European Commission's Standard Contractual Clauses or another lawful transfer mechanism.
6. Retention
We keep account and service data while your account is active and normally delete or anonymize it within 90 days after account closure, unless it is needed for an unresolved dispute, fraud prevention or a legal obligation. Financial and transaction records are generally retained for seven years as required by Dutch tax law. Security logs are retained only as long as reasonably needed for security and diagnostics.
7. Security
We use reasonable technical and organizational safeguards, including access controls, encrypted connections and restricted administrative access. No online service is completely risk-free, so you should use a strong password and protect access to your email account.
8. Your rights
Subject to the GDPR, you may ask to access, correct, delete, restrict or receive your personal data, object to certain processing, and withdraw consent where processing relies on consent. You may also lodge a complaint with the Dutch Data Protection Authority, Autoriteit Persoonsgegevens.
To exercise a right, email customer@writex.ai. We may need to verify your identity and normally respond within one month.
9. Cookies
We currently use only cookies and browser storage needed for authentication, security and core service operation. We do not currently use advertising trackers. Read our Cookie policy for details.
10. Updates and contact
We may update this policy when our service or legal obligations change. Material updates will be communicated through the service or by email where appropriate. Privacy questions can be sent to customer@writex.ai.
